Case study · Sales & operations platform

Every sale your team makes, with the stock, cash and commission behind it

SalesX is a bilingual sales and operations platform designed and built by MagnAct for businesses that sell through people: specialists in a clinic, or the sales representatives of a manufacturer or distributor. It follows each sale from the person who made it to the stock they used, the cashbox that collected the payment, the ledger entry it posted and the commission it earned.

01The project

When revenue is earned by people in the field

  1. Business model

Many businesses earn their revenue through people: a specialist delivering a paid session, or a sales representative selling a factory’s product lines from the stock entrusted to them. Each sale uses goods held by that person, and the customer pays in cash, by card, transfer or mobile wallet, sometimes in part and sometimes in another currency.

  2. Operational requirements

Owners need to know what each person sold and used, which products are in whose hands, how much cash each cashbox holds, what customers still owe, and what commission each person has earned, without rebuilding the picture from spreadsheets at month end.

  3. The SalesX solution

SalesX records each sale as a draft with the people who made it, the products, discounts and payments. One approval then creates the invoice, deducts the products from that person’s custody or a branch warehouse, posts the accounting entries and records the payments in the chosen cashbox or bank account, all at once or not at all.

  4. Business value

Every figure has an owner and a trail: stock in custody per person, cash per cashbox, balances per customer, commission per seller, and an activity log of who changed what. Managers read live records instead of reconciling separate lists.

One model, two industries

The engine is the same wherever sales are made by people who carry stock. The screens on this page show the clinic edition; for a manufacturer or distributor, MagnAct adapts the same system to your vocabulary and processes.

Edition shown

Clinics & medical centres

Doctors and specialists deliver paid sessions using products in their custody; patients pay at reception, across one branch or several.

Same engine

Manufacturers & distributors

Sales representatives sell your product lines from the stock issued to them, collect from customers, hand cash to the company and earn commission.

02System overview

Six connected areas, one operating picture

Sales, products, custody, cash, commissions and accounting share the same records, so a single approved sale updates all of them.

Sales & sessions

Each sale is attributed to the people who made it.

  • Several sellers per sale (doctor and specialist in the clinic edition)
  • Draft → approve or reject with a reason
  • Percentage or fixed discounts
  • Refunds by line and full cancellation
  • Optional automatic approval on save

Products & product lines

A catalogue built for how businesses buy, store and sell stock.

  • Product lines as nested categories
  • Several units per product with conversion
  • Sale and cost price per unit
  • Weighted average costing
  • Reorder levels with low-stock alerts

Custody stock

Stock issued to a specialist or representative stays on their name until it is sold, used or returned.

  • A personal custody store per seller
  • Issue, return and recorded consumption
  • Sales draw from the seller’s own custody
  • Custody console with quantity and value
  • Custody tab on every seller’s profile

Cashboxes & collections

Every payment lands in a named cashbox or bank account.

  • Unlimited cashboxes per branch
  • Responsible users per cashbox
  • Cash, card, transfer and mobile wallets
  • Partial payments and balance due
  • Approved transfers between cashboxes

Commissions

Commission follows the sales each person actually took part in.

  • A commission rate for each of two selling roles
  • Calculated on each sale’s net value
  • Pending, granted or excluded per person
  • Per-person summary in any currency
  • Excel export and print

Accounting & reports

Double-entry books that operations keep up to date.

  • Automatic journal entries
  • Receipts, payments and cost centres
  • Accounting cycles with year-end close
  • Multi-currency with rate history
  • Trial balance, P&L, cash flow, ageing
03The operating model

One approved sale, four records updated

This is what separates SalesX from a simple sales log. The moment a sale is approved, one transaction settles the stock, the cash, the books and the commission review.

Approved sale

The sale record

Customer, the people who made the sale, products, discounts and payments, recorded once (a patient session in the clinic edition).

  1. Invoice issued
  2. Products consumed
  3. Entries posted
  4. Payments recorded

Seller’s custody

Products leave the custody of the person who sold them, or a branch warehouse, at average cost.

Stock out

Commission review

The sale appears for each person who took part, awaiting a grant or exclude decision.

Decision pending

Cashbox or bank

Payments taken on the form become receipts in the chosen cashbox or bank account.

Cash in

The ledger

Revenue, the customer receivable and the cost of sales are posted to the chart of accounts.

Entries posted

If any part fails, for example a product the custody no longer holds, nothing is saved and the sale stays a draft.

04How a sale moves

From the person who sells to the books

Each step is a working part of SalesX, carried out on the same sale record.

  1. Record

The sales desk or the seller drafts the sale: customer, the people involved, products from custody, discounts and any payment taken.

  2. Review

Approvers are notified of new drafts and accept or reject them; a rejection keeps its reason on record.

  3. Approve

One transaction issues the invoice, consumes the products, posts revenue, receivable and cost of sales, and records the payments.

  4. Collect

Further payments are taken by method into a cashbox or bank account until the balance due reaches zero.

  5. Reward

Each seller’s commission is granted or excluded sale by sale and summed per person for the period.

  6. Reconcile

Cash moves to the main treasury through approved transfers, and reports read custody, cash and receivables live.

06Feature deep dives

Where SalesX does the heavy lifting

One approval, every record updated

Capability
A session carries the patient, every doctor and specialist who attended, the products used with their units and prices, percentage or fixed discounts, and the payments received, by method.
Workflow
The session is saved as a draft and approvers are notified. On approval SalesX creates the invoice, deducts the products, posts the journal entries and turns the recorded payments into receipts in a single transaction; if any part fails, nothing is saved.
Business value
The treatment room, the stockroom and the accounts never drift apart, and no one re-types a session into another system.
Screenshot of the One approval, every record updated screen in SalesX, with fictional sample data

Custody: stock on the seller’s name

Capability
Each seller (a doctor or specialist in the clinic edition, a sales representative elsewhere) gets a personal custody store, created automatically on the first issue. Stock moves into it from a branch warehouse at average cost, and back out by return or recorded consumption.
Workflow
The inventory officer issues custody from the seller’s profile. When a seller records a sale, only products in their own custody can be chosen, and approval consumes them from that custody.
Business value
You know which products are with whom, what each sale used, and what every seller still holds.
Screenshot of the Custody: stock on the seller’s name screen in SalesX, with fictional sample data

Every cashbox accounted for

Capability
Any number of cashboxes per branch, each with responsible users and its own ledger account. Cash payments land in a cashbox; card, transfer and wallet payments land in the matching bank account.
Workflow
Reception collects into their own cashbox and sees only theirs. Cash is handed to the main treasury through a transfer that an accountant approves; an optional schedule can sweep balances automatically.
Business value
Cash has a named owner at every step, and the balance of each cashbox can be read at any moment.
Screenshot of the Every cashbox accounted for screen in SalesX, with fictional sample data

Commissions decided session by session

Capability
One commission rate for doctors and one for specialists. Each attendee of an approved session earns the rate on the session’s net value, and only commissions marked as granted count towards the totals.
Workflow
A manager reviews the period’s sessions, grants or excludes each attendee individually or in bulk, and the doctor is notified. The summary gives every person’s total in the chosen currency, ready to print or export.
Business value
Commission reflects the work actually delivered, with a visible decision behind every amount.

07Control & experience

Built for the people who run it every day

Each role sees its own work

Six ready-made roles and more than 470 permissions, down to individual actions. Sellers see only their own sales; reception sees only its own cashboxes.

Accountability built in

An activity log records who changed what, with values before and after. Approved documents are reversed rather than edited, records go to a restorable trash, and closed accounting periods accept no postings.

Truly bilingual

Full Arabic and English interfaces with right-to-left layout, names stored in both languages, and a language remembered for each user.

People kept informed

In-app notifications for drafts awaiting approval, decisions, refunds, commission outcomes and low stock, plus built-in real-time chat with attachments and announcements.

Branches compared

Branches carry their own cashboxes, warehouses and sessions, and a branch performance report compares revenue, sessions, top doctors and top products.

Ready for several currencies

Sessions, invoices and payments in any active currency, exchange-rate history, an FX exposure report and a guided change of base currency.
